Rallison Appliances receives hundreds of customer inquiries daily through WhatsApp regarding product inquiries, order tracking, warranty registration, and service requests. Managing these conversations manually created several challenges:
The business needed a smart, automated, and scalable customer support system that could instantly reply to customers, understand user intent, and integrate with their existing WooCommerce and Google ecosystem.
We implemented an end-to-end AI-powered automation workflow using n8n that acts as a centralized intelligent router handling all WhatsApp messages.
Objective: To create a fully automated virtual assistant that can understand customer messages, identify intent, fetch live order data, register warranties, and process service requests without human intervention.
WhatsApp (Chatwoot) → n8n Webhook → Security & Validation → Intent Detection → Dynamic Routing → Action → Response
Before any processing, the workflow performs authentication using secret tokens, spam protection, and rate limiting to ensure no infinite loops or unauthorized access.
The system uses a custom intent engine to classify messages into:
Customer sends "Track my order #1234". System verifies phone, fetches WooCommerce data, and returns formatted status instantly.
User asks "Price of 3 burner stove". System detects product intent, calls API, and returns top 3 matching products with images and links.
A step-by-step flow collects Name, Phone, Purchase Date, and Invoice Photo. The system validates the upload, saves it to Google Drive, generates a Ticket ID, and logs everything in Google Sheets.
For general queries, the workflow uses OpenAI GPT with conversation memory and context-aware responses. It answers FAQs, guides users, and provides multi-language support.
If a user says "Talk to agent", the system detects the handoff intent, stops the AI, notifies a human agent in Chatwoot, and sends a polite acknowledgment to the user.
